Create a New Workflow

To create a new workflow please review the steps below:

  1. Go to the navigation panel

  2. Select Task Management

  3. Click on the Workflow Builder

  4. Click New Workflow

  5. From here you will fill in Workflow Name and Description

  6. Then select the Trigger for the workflow to begin.

    • The trigger is selected from the dropdown of available workflow triggers.

      • Define the Workflow

        • Workflow Name: Give the workflow a unique name that is clear and recognizable (New Equipment Model Setup)

        • Description: Describe the completed state expected when the workflow is done (Equipment model $ and service setup)

        • Trigger: Define the event in the platform that should trigger the to start (New Equipment Model Created)

        • Workflow Steps: Autopopulated by the system to show the step count in the workflow

        • Workflow Duration: Autopopulated by the system to show the expected duration of the workflow

        • Org Tree Branch: Define what branch of the org tree this workflow belongs to (Catalog and other areas that span the entire organization will default to the top of the tree)

        • Set as Active?: Turn the workflow on and off.

An example of a workflow could be:

  • Trigger: New equipment model created

  • Task 1: Add replacement cost, assigned to a purchasing user

  • Task 2: Add service plan, assigned to a service department user

  • Task 3: Update rate sheets, assigned to finance user

  • Etc….


To add the first task in the workflow select +Add Task.

  • Please note: All fields except Notes are required.

  • Subject: Free Form

  • Task Category: Select (Task Categories are List Managed)

  • Align Location: Select (Align Locations)

    • OR Other Location: Free Form

  • Assigned To: Select (Align Users)

  • Est. Time: Select

  • Priority: Select (Task Priorities are List Managed)

  • Status: Select (Statuses are List Managed)

  • Notes: Free Form (Not Required)


Once you begin to add tasks to the workflow you will see the Workflow Steps and Workflow Duration begin to automatically populate based on how many tasks have been added and the Est. Time set for each task.

  1. Select Attachments to add attachments that should be included on the task every time it is created

  2. Select Add and Next to add the task and begin creating a new one

  3. Click Add to create the task and close the modal window

After completing these steps you can view the workflow map which will show the trigger and each task that you add to the workflow.
